Team Settings

Learn how to manage your team settings, subscription, usage tokens, and coaching staff in Youth Coach Hub.

Overview

Team Settings is your central hub for managing everything about your team. Access it from your team dashboard by clicking Settings in the navigation. The settings page is organized into four tabs for easy navigation.

Accessing Team Settings

  1. Navigate to your team dashboard
  2. Click Settings in the team navigation bar
  3. You'll see four tabs: Team, Subscription, Usage, and Members

Team Tab

Configure your team's basic information.

What You Can Edit

  • Team Name - The display name for your team
  • Level - Youth, JV, Varsity, etc.
  • Team Colors - Primary and secondary colors for your team

Saving Changes

Click Save Changes after making edits. Changes take effect immediately across the app.


Subscription Tab

Manage your subscription plan and billing (team owners only).

Current Plan Card

Shows your active subscription:

  • Plan Name - Basic, Plus, or Premium
  • Status - Active, Trial, or Past Due
  • Monthly Cost - Your subscription price
  • Renewal Date - When your next billing cycle begins

Plan Limits

View your current plan's capacity:

Changing Your Plan

  1. Click Change Plan button
  2. Review the three plan options
  3. Each plan shows:
    • Monthly price
    • Upload tokens (with team/opponent breakdown)
    • Camera limit
    • Retention period
  4. Click Select on your desired plan
  5. For upgrades: Complete Stripe checkout
  6. For downgrades: Takes effect at next billing cycle

Managing Payment Method

  1. Click Manage Payment Method
  2. You'll be redirected to Stripe's secure portal
  3. Update your card, view invoices, or manage billing details

Note: Only team owners can access subscription and billing settings.


Usage Tab

Track your film upload tokens and team activity.

Token Balance

Film Upload Tokens shows your total available tokens:

  • Team Film Tokens (blue) - For uploading your own team's game footage
  • Opponent Scouting Tokens (amber) - For uploading opponent film

Token Breakdown

The Usage Progress bar shows:

  • Tokens used this billing period
  • Your monthly allocation
  • Color coding: Green (normal), Amber (70%+), Red (90%+)

Understanding Token Types

Purchasing Additional Tokens

If you need more uploads (team owners only):

  1. Go to Usage tab
  2. Find Purchase Additional Tokens section
  3. Use +/- buttons to select quantity
  4. Price: $12.00 per token
  5. Click Purchase
  6. Complete Stripe checkout (or instant credit if billing is waived)

Tip: Purchased tokens never expire and are used after your subscription tokens run out.

Team Activity Stats

View your team's overall activity:

  • Games - Total games uploaded
  • Plays Tagged - Total plays you've tagged
  • Players - Roster size
  • Team Members - Number of coaches

Members Tab

Manage your coaching staff and invitations (team owners only).

Current Members

View all coaches with access to your team:

  • Name and Email - Coach's account info
  • Role - Owner or Coach
  • Status - Active or Pending
  • Join Date - When they joined

Role Permissions

Inviting New Coaches

  1. Click Invite Coach button
  2. Enter the coach's email address
  3. Select their role (Coach or Owner)
  4. Click Send Invite

What happens:

  • An email is sent with an invitation link
  • If they have an account: They can accept immediately
  • If they don't have an account: Link takes them to signup, then auto-joins your team

Managing Pending Invites

Pending invitations appear in a separate section:

  • Copy Link - Copy the invite URL to share directly
  • Resend - Send another email invitation
  • Cancel - Revoke the invitation

Changing a Coach's Role

  1. Find the coach in the members list
  2. Click the role dropdown
  3. Select the new role
  4. Changes take effect immediately

Removing a Coach

  1. Find the coach in the members list
  2. Click Remove
  3. Confirm the removal
  4. Their access is revoked immediately (their contributions are preserved)

Tips for Team Management

Regular Check-ins

  • Review token usage mid-month to ensure you have enough uploads
  • Check pending invites to follow up with coaches who haven't accepted

Token Management

  • Tokens reset at the start of each billing period
  • Subscription tokens are used first, then purchased tokens
  • If you consistently run out, consider upgrading your plan

Staff Communication

  • Share the Settings page with coaches so they understand their permissions
  • Use the Members tab to verify everyone has appropriate access

Troubleshooting

Can't See Settings?

Only team owners and coaches can access settings. Some tabs (Subscription, Members) are owner-only.

Can't Change Plan?

Only team owners can modify subscriptions. Contact your team owner for plan changes.

Invited Coach Can't Access Team?

  1. Check if their invitation is still "Pending"
  2. Resend the invitation email
  3. Verify they're logging in with the correct email address
  4. Have them check spam/junk folders

Running Low on Tokens?

  • Wait for your billing cycle to reset
  • Purchase additional tokens ($12 each, never expire)
  • Upgrade to a higher plan for more monthly tokens
