Schedule & Calendar

Learn how to manage your game schedule, track your season record, and organize team events in Youth Coach Hub.

Overview

The Schedule page is your central hub for managing games, practices, and team events throughout the season. It features a calendar view that helps you visualize your entire season at a glance.

Accessing the Schedule

  1. Navigate to your team dashboard
  2. Click Schedule in the team navigation bar
  3. You'll see the calendar view with your games and events

Calendar View

The schedule displays a monthly calendar showing:

  • Games - Displayed with opponent name and score (if played)
  • Practices - Team practice sessions
  • Events - Meetings, film sessions, and other activities

Navigating the Calendar

  • Use the arrow buttons to move between months
  • Click on any date to see details for that day
  • Games are highlighted differently than practices and events

Season Record

At the top of the schedule, you'll see your team's current record:

  • Wins - Games marked as wins
  • Losses - Games marked as losses
  • Ties - Games marked as ties

Adding Games

Create a New Game

  1. Click the Add button
  2. Select Game
  3. Fill in the game details:

Recording Game Results

After a game is played, update it with the results:

  1. Click on the game in the calendar

  2. Click Edit

  3. Fill in:

    • Game Result - Win, Loss, or Tie
    • Team Score - Your team's final score
    • Opponent Score - Opponent's final score
    • Quarter Scores (optional) - Score by quarter for detailed tracking
  4. Click Save

Quarter-by-Quarter Scoring

For detailed game tracking, you can enter scores by quarter:

  • Q1, Q2, Q3, Q4 scores for both teams
  • Overtime score (if applicable)
  • These feed into quarter-by-quarter analytics

Adding Events

Create a Practice

  1. Click the Add button

  2. Select Event

  3. Set Event Type to "Practice"

  4. Fill in details:

    • Title
    • Date and time
    • Location
    • Description
  5. Click Save

Create Other Events

Use events for:

  • Practice - Regular practice sessions
  • Meeting - Team meetings, film review sessions
  • Other - Any other team activity

Opponent Games (Scouting)

You can add opponent games for scouting purposes:

  1. When adding a game, check "This is an opponent's game (for scouting)"
  2. Enter the opponent's team name
  3. This game will be flagged for scouting analysis
  4. Upload opponent film to this game for defensive preparation

Deleting Games

You can delete games from your schedule if needed. Depending on whether you've started tagging plays, you may receive a token refund.

How to Delete a Game

  1. Click on the game in the calendar
  2. Click Delete
  3. A confirmation dialog will show your refund eligibility
  4. Confirm the deletion

Token Refund Eligibility

When you delete a game, the system checks if any play tagging work has been done:

Why this policy? Tokens represent game uploads. If you've uploaded the wrong video or created a game by mistake, you can undo it and get your token back. However, once you've started tagging plays (the actual analysis work), the token is considered used.

What Gets Deleted

When you delete a game, the following are permanently removed:

  • The game record
  • All uploaded videos and storage files
  • All tagged plays (play instances)
  • Any timeline configurations

Refund Confirmation

The delete confirmation dialog clearly shows:

  • Green message if you'll receive a refund: "You will receive 1 token back"
  • Amber warning if no refund: Shows how many plays have been tagged

Tip: If you uploaded the wrong video but haven't tagged any plays yet, delete the game and recreate it. You'll get your token back automatically.

Linking to Film

Games you create appear in your Film section. When you upload game video:

  1. Navigate to Film
  2. Select the game from your schedule
  3. Upload video files
  4. Start tagging plays

Tip: Create games in your schedule before uploading film. This keeps everything organized.

Linking to Practice Plans

Practice sessions can be linked to your practice plans:

  1. Create a practice plan in the Practice section
  2. Assign it to a specific date
  3. The practice appears on your schedule calendar
  4. Click to view or edit the practice plan

Managing Your Season

Setting Up a New Season

At the start of a season:

  1. Add all scheduled games
  2. Create recurring practice events
  3. Add important dates (first day of practice, playoff dates, etc.)

Mid-Season Updates

Keep your schedule current by:

  • Updating game results after each game
  • Adjusting rescheduled games
  • Adding playoff games as they're scheduled

End of Season

After the season:

  • Ensure all game results are recorded
  • Your complete season record is preserved
  • Analytics reflect the full season of data

Calendar Tips

Color Coding

  • Games are typically shown in a distinct color
  • Wins may show in green, Losses in red
  • Upcoming games vs Past games are distinguished

Quick Actions

Click on any calendar item to:

  • View details
  • Edit the item
  • Navigate to related film (for games)
  • Access the practice plan (for practices)

Filtering

Use filters to show:

  • Games only
  • Practices only
  • All items

Best Practices

Name Games Consistently

Use a consistent format like:

  • "Week 1 vs Eastside"
  • "vs. Westside Tigers (Homecoming)"
  • "Playoff - Round 1"

Add Games Early

Enter your schedule at the start of the season:

  • Easier to plan ahead
  • Ready for film uploads after each game
  • Coaches can see the full schedule

Update Results Promptly

After each game:

  1. Record the final score
  2. Add quarter scores if tracking that level of detail
  3. Upload game film within a few days

Use Events for Non-Game Activities

Track everything on one calendar:

  • Parent meetings
  • Equipment pickup
  • Film review sessions
  • Weight room sessions

Troubleshooting

Game Not Showing on Calendar?

  • Check that the date is set correctly
  • Navigate to the correct month
  • Verify the game was saved

Can't Edit a Game?

  • Only coaches and owners can edit games
  • Check your role in Team Settings

Score Mismatch Warning?

If the quarter scores don't add up to the final score, you'll see a warning. Update either:

  • The quarter-by-quarter scores
  • The final score
